Teams and task visibility
With teams, the organisation can group employees (for example by subject area or process). Task visibility controls who sees individual tasks: everyone in the organisation, only you and optionally the person set as responsible, or only members of a specific team. You can also save custom views with filters so you can quickly switch between different task overviews.
What are teams?
A team is a named group of users in the same Revizo organisation. Typical examples:
- Support — cases and tasks that only the support team should see
- HR — sensitive internal tasks limited to HR
- IT — tasks related to systems and access
Teams are not separate organisations; everything happens within the organisation you already use in Revizo.
Creating a team
- Go to the Team page in the dashboard.
- Click + New team (or the equivalent button for a new team).
- Enter a name and optionally a description.
- Choose a colour that makes the team easy to recognise in the overview.
- Select members who should be included from the start (you automatically become administrator of the team you create).
Only organisation administrators can create new teams. Regular members can belong to teams that someone has added them to.
Managing teams
- Add members: Open the team and add users from the organisation. Team or organisation administrators can do this.
- Remove members: Same access as above. You cannot remove yourself as the only administrator without first appointing another administrator.
- Change settings: Name, description and colour can be updated by the team administrator or organisation administrator.
- Delete a team: The team administrator or organisation administrator can delete the team. Tasks that were limited to that team then become visible to the entire organisation (shared visibility), so nothing “disappears” for everyone.
Task visibility
When you create or edit a task, you can choose who should be able to see it:
| Mode | Who sees the task? |
|---|---|
| Shared (organisation) | Everyone in the organisation who has access to tasks. |
| Private | You as the creator, and the person set as responsible on the task (if someone is set). Others in the organisation do not see it in the list. |
| Team | Only members of the team you select. You must yourself be a member of the team to set this visibility. |
The default for new tasks is usually shared, unless you change it.
Custom views
Views are saved combinations of filters (for example status, responsible, company or search). You can:
- Create a new view from the task overview when you have set filters you want to use again.
- Give the view a name and choose who it applies to: only you, a team, or the entire organisation.
- Switch between views as tabs or shortcuts, without setting filters again each time.
Private views are only visible to you. Team views are shared with members of the selected team. Organisation views are available to everyone in the organisation.
Deleting views follows the same logic: you delete your own private views yourself; shared and team views require administrator rights as described in the table below.
