Task lists
Task lists are reusable templates with a set of tasks. When you assign a list to a user and a company, the tasks are created automatically in that person’s work list.
When do you use task lists?
Task lists are useful for work that repeats:
- Monthly close — checklist with all steps that should be done each month
- Year-end closing — complete task set for year-end per company
- Onboarding a new client — standard tasks when starting a new customer
- Quarterly reporting — VAT reconciliation, controls and filing
Creating a task list
- Go to Task lists in the side menu
- Click + New task list
- Give the list a name and a description
- Choose recurrence (optional):
- One-off — the tasks are created once
- Monthly — new tasks are generated automatically each month
- Quarterly — every quarter
- Yearly — every year
- Add items (the tasks) with title, priority and an optional description
Items in a task list
Each item becomes a task when the list is assigned. You can set:
- Title — what the task is about
- Description — optional detailed explanation
- Priority — Low, Medium, High or Critical
- Category — type of work
- Checklist — subtasks to tick off
Items can be sorted with drag-and-drop.
Progress tracking
When a task list is assigned, you can follow progress:
- Open the task list and go to the Assignments tab
- See a percentage bar for each assignment (for example «7/12 completed»)
- Completed assignments are shown with a green highlight
Tips
- Start with 3–5 task lists for the most common processes
- Use recurrence for routine work — then you avoid creating tasks manually
- Keep items concrete: «Reconcile bank account» is better than «Miscellaneous»
