How Revizo AI works
Revizo AI is the assistant built into the Revizo platform. It answers questions about the product and about the organisation’s own data, and it can perform a limited set of actions on behalf of the user — create tasks, run Smart Match, set up smart tasks, create exports.
This section is written for three reader groups:
| Reader | Start here |
|---|---|
| Users and accountants who want to know what the assistant sees and does | This page |
| IT managers and architects who are assessing the integration | Technical architecture |
| Security, privacy, and procurement managers | Data access and data minimisation, Security controls, Questions and answers for due diligence |
In short
Revizo AI is not an open chatbot with access to everything. It is a logged-in assistant that:
- only sees data in the organisation the user is logged in to,
- only receives the extract of data that is needed for that one request,
- can only do things through predefined tools that Revizo controls,
- presents confirmation cards before email is sent out of the organisation or routine text is saved,
- can be turned off by an administrator without the rest of Revizo being affected,
- does not give accounting or legal advice.
The language model (Anthropic Claude) formulates answers and proposes tool calls. Everything that actually touches data — lookups, writing, sending — runs in Revizo’s own code, with identity and organisation taken from the logged-in session.
What happens when you write in the chat?
- Control before anything is sent. The user must be logged in to an organisation. The organisation’s AI setting must allow chat. Monthly quota and rate limit are checked. Questions that clearly are not about Revizo or accounting are rejected before the model is called.
- Minimal context. Revizo includes the user’s name, organisation, role, which page the user is on, any open task, and short hits from Revizo’s own help text. Not the entire accounts.
- The model chooses. Claude receives the question, the context, and a list of allowed tools. It can reply directly or ask Revizo to run a tool.
- The tool runs in Revizo. Each tool receives organisation ID and user ID from the session — not from the model, not from the user’s text. A lookup of a client in another organisation returns an empty result.
- Confirmation where needed. A documentation request to an external contact is shown as a card with recipient and message; the email is sent only when the user presses Send. A routine description on an account is shown as a preview; it is saved only when the user presses Save.
- The reply is filtered. Before the reply is shown, it is checked for content the assistant must not produce (accounting advice, national ID numbers, account numbers), and required disclaimers are added where relevant.
What the assistant can do
| The user says | The assistant does | Confirmation |
|---|---|---|
| “How many unmatched items do we have?” | Queries the database and replies in the chat | None — read only |
| “Show me overdue tasks” | Filters or navigates in the app | None — display only |
| “Create a task for VAT reconciliation” | Creates the task | Executed directly; the user asked for it |
| “Run Smart Match for 1920 Bank now” | Runs matching once | Executed directly; the user asked for it |
| “Run Smart Match for Nordvik every week” | Creates a smart task | Summarises and waits for “yes” |
| “Ask Kari for the annual accounts” | Shows a send card | Email is sent only on Send |
| “Write a routine description on account 1500” | Shows a preview | Saved only on Save |
| “Export the tasks to Excel” | Creates the file | The user downloads from the card |
| “What does the Bookkeeping Act say about retention?” | Looks up Lovdata and quotes the section | Factual lookup, not advice |
The complete tool list with risk class is in Actions and tools.
What the assistant does not do
- Does not give accounting or tax advice. It replies with facts and refers to an auditor or Skatteetaten for assessments.
- Does not invent deadlines, rates, or statutory text. For legal questions Lovdata is used as the source. If it cannot find the answer, it says so.
- Does not show data from other organisations, national ID numbers, or bank account numbers.
- Does not send email out of the organisation unless the user presses Send on a card.
- Does not answer things outside Revizo — poems, code, politics, and general knowledge questions are rejected.
Can we turn it off?
Yes. Administrators control the AI functions under Settings → AI & Privacy:
- Master switch — turns off all AI: chat, document analysis, and voice mode.
- AI chat — turns off only the chat.
- AI document analysis — turns off only extraction of tasks from attachments.
- Voice mode — turns off only speech.
When a function is off, it is hidden in the interface and the server rejects requests to it. Tasks, reconciliation, import, reports, and search work as before.
Where is data processed?
| What | Where | Note |
|---|---|---|
| Accounting data, tasks, conversation archive | Supabase Postgres, Frankfurt (EU) | Primary storage |
| Model calls for chat and document analysis | Anthropic (USA) | Only the context for the individual request. No model training. EU standard contractual clauses (SCC). |
| Vectorisation of question text against Revizo’s help text | OpenAI (USA) | Only the user’s question, not accounting data. No model training. |
| Voice mode | OpenAI (USA) | Only when voice mode is enabled and the user starts a conversation. |
